Uncommon Schools is offering a one-year fellowship to prepare to do one of three things: 1) open a new Uncommon school; 2) take over an existing Uncommon school; or 3) join an existing K-8 school as an Academy Director for Instruction or Operations.

Reports to: Managing Director of an Uncommon Schools network


GENERAL SUMMARY: The Fellowship provides a robust development process to prepare leaders to oversee the ongoing operations at a school in conjunction with the Principal and Uncommon Home Office. The Fellow (i.e., the eventual Operations Leader) will work very closely with Uncommon’s Director of Operations and Director of Leadership Development. The Operations Fellow is a full-time employee, hired, supported, and evaluated by the Managing Director. The Operations Fellow must have a B.A. and ideally has an M.P.P., M.B.A., or J.D.


Prepare for success.
The Fellowship year is based on a foundation of six core elements that are aligned to the competencies of Uncommon leaders. Each element is designed to build Fellows’ capacity towards becoming effective operational school leaders. These include the following:

• Evaluation and Feedback;
• Fellowship Deliverables and Immersion;
• Operations Leadership Meetings;
• Professional Development;
• Reading and Discussion Groups;
• School Startup Preparation; and
• School Visits.


Evaluation and Feedback
Throughout the fellowship year, Fellows will receive coaching and feedback from their Managing Directors in addition to the school leaders they are working closely with during their fellowships. Each Fellow will have an Individual Development Plan that identifies the specific areas of development around which their fellowship will be customized.

Fellowship Deliverables and School Guidelines
During the fall of their fellowship year, Fellows will be placed at an existing Uncommon school to observe and learn in the environment of a successful school. While in this residency, the Fellow will be involved in operations work at the school, Uncommon-wide Operations projects, and observations and analysis of Operational systems. In addition, Fellows will be responsible for completing a variety of pre-determined deliverables that are designed to provide active learning that creates an input or experience to shape the development of their leadership and schools.

Operations Leadership Meetings
Fellows will join the current Operations leaders for periodic meetings to share and tackle current Operational challenges across Uncommon schools and to build their support network of current leaders.

Professional Development
Starting in the summer, Fellows will engage in professional development focusing on three main domains: Cultural Leadership, Leadership and Management, and Operational Leadership. Each professional development session will be lead by our experienced group of Managing Directors, current leaders and a select group of external partners.

Fellows will have a recommended reading list and periodic dinner discussions with current school leaders that will center around a particular topic on the reading list.

School Startup Preparation
During the spring of their fellowship year, Fellows will begin work on their future schools in collaboration with their Managing Directors, their instructional partners, and the Uncommon Home Office. This work will include (but is not limited to) the development of the following:

• Facility (securing a facility, managing any renovations);
• HR Certification & Personnel management;
• Purchasing;
• Operational Blueprint (development of systems and routines);
• Registration for Services (food, transportation, nursing, security, etc.); and
• Student Recruitment & Lottery.

School Visits
In addition, Fellows will participate in a minimum of 3 group school visits with the cohort of instructional and operational fellows to gain breadth of experience and to learn from other schools particularly around issues and logistics of school culture, management and other systems, the relationship between planning and instruction, and joy and engagement.

Become a committed leader.
Once the Fellow completes the fellowship, s/he will become an Operations Leader at an Uncommon School. The Operations Leader role includes overseeing the ongoing operations at the school to enable principals and teachers to drive success with students.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

1. School Start-up and Growth:
a. Manage and execute on a detailed start-up plan to ensure the school starts each year fully prepared and fully stocked; and
b. Lead the start-up assessment with Uncommon’s charter authorizer.
2. Finance and Purchasing:
a. Ensure that school-based employees receive payroll and benefits in a timely and accurate manner in partnership with Uncommon Schools Finance department;
b. Manage the school budget process including annual budget development and ongoing budget management and review working with Uncommon Schools Finance department; and
c. Oversee school-based purchasing and constantly strives for cost-savings.
3. Human Resources and Personnel:
a. Work with appropriate staff at the school and at Uncommon to maintain, update and communicate the Employee handbook;
b. Maintain personnel records and tracks staff sick and personal days; and
c. Work with Uncommon Director of HR to manage the certification process to ensure school is compliant with certification and NCLB requirements.
4. Student Information and Assessment:
a. Manage student information database system and generates reports as needed. Oversees creation and distribution of progress reports, report cards and transcripts as necessary;
b. Ensure the school maintains accurate student records;
c. Ensure testing materials are properly ordered, received and submitted for scoring, and that test data is reported to school staff and other relevant constituencies;
d. Manage all requests for student information from all constituencies; and
e. Correspond regularly with families regarding school policies, trips, events, and other relevant information.
5. Technology:
a. Work with Uncommon Schools to oversee the purchase and maintenance of technology equipment and infrastructure, implementation of technology training, and management of technology consultant relationships; and
b. Monitor instructional technology to ensure that technology issues do not interfere with instruction.
6. Facility:
a. Ensure that the school is neat and clean and that minor repairs are made quickly;
b. Manage and oversee the school facility and maintains all school partnerships for shared space agreements. Works closely with the Uncommon Director of Real Estate;
c. Manage all renovation, expansion and construction projects in partnership with the Uncommon Director of Real Estate;
d. Coordinate school security, safety drills and bell schedules with the school’s needs;
e. Work with appropriate staff to ensure hallway and general facility decorations, including student work, are updated and maintained regularly; and
f. Manage office manager, nurse, security personnel, custodians and other non-instructional staff.
7. Food and Transportation:
a. Manage food and transportation services either through private vendor contracts or in partnership with the district services;
b. Ensure that food and transportation service is reliable, healthy and safe; and
c. Complete all compliance information for food and transportation including collection of free and reduced information to determine family eligibility.
8. Regulations and Reporting:
a. Ensure school-wide compliance with health and safety laws, charter contracts, state education mandates and all federal and state workplace regulations. Work in partnership with the Uncommon Director of Operations and Director of Human Resources to ensure all compliance is met;
b. Complete school-based sections of all grant and funding proposals and reports in a timely and accurate manner;
c. Secure student transcripts from prior schools and provides student transcripts to students’ future schools; and
d. Work with the Principal and Uncommon Director of Operations to prepare for charter school authorizer site and renewal visits and Uncommon school inspections.
9. External Relations and Development:
a. Develops, collect, distribute and manage all Board meeting minutes and Board-related documents;
b. Manage relationships with all outside organizations and leads the school’s efforts to partner with community leaders and organizations. Represent school at various state and local charter events and meetings;
c. Manage the creation of any school newsletters or external relations materials. Assist Principal with hosting selected visitors for school tours; and
d. Manage visitor program for the school:
i. Coordinate visitor days for community members, parents, elected officials, and others who want to learn more about the school.
ii. Develop a format for visitor days that minimizes the impact on the school and follows up on all requests from visitors.
iii. Keep an accurate record of all visitors and all services/requests completed for them.
10. Student Recruitment:
a. Maintain thorough list of community organizations and partners with which to correspond regarding student recruitment;
b. Create and manage student recruitment process in partnership with Uncommon Schools;
c. Establish schedule of information sessions and manages the school lottery; and
d. Track student admission applications and maintains waitlist.
11. Manage the administrative staff of the school, staffs the Main Office when the Office Manager is unavailable or not present, and ensures the smooth operation of the main office, including mailings, attendance reporting, office machine maintenance, etc;
12. Coordinate with Uncommon Schools to ensure smooth operations, identify needs, and facilitate flow of information; and
13. Perform other duties as required.

POSITION OVERVIEW
The Human Capital team has a fierce commitment to ensuring that we develop, support, and retain our tremendous team of people. As a critical part of this team, the Uncommon Schools Office Manager will oversee the administrative operations of the Home Office and provide administrative support across Home Office teams, including the CEO and COO.

ESSENTIAL DUTIES & RESPONSIBILITIES:

OFFICE MANAGEMENT: Creates and maintains systems that ensure the Uncommon Home Office is organized, clean, fully stocked and welcoming.

1. Serves as the main point of contact for Uncommon visitors.
2. Answers main phone line. Manages and directs external inquiries.
3. Coordinates the maintenance of office equipment, including copier, fax machine, and postage meter.
4. Establishes general office procedures including inventory and purchasing systems to ensure that all Home Office team members have the supplies and equipment needed. Negotiates with external vendors.
5. Opens and distributes the mail.
6. Develops and maintains storage and organization systems to ensure the office is neat and professional.
7. Provides logistical support to key Uncommon meetings and events including securing rooms, setting up relevant materials and technology, ordering food, and documenting minutes as needed.
8. Responsible for Home Office decoration and décor. Orders snacks for Home Office.

ADMINISTRATIVE SUPPORT: Provides administrative support to teams across the Home Office as needed.
1. Manages Uncommon and Uncommon-affiliated travel arrangements.
2. Prepares mass mailings, email blasts, and mass faxing for special campaigns.
3. Maintains the Uncommon calendars and contacts on both the intranet and external website. Updates the Uncommon organizational chart and the schools directory regularly with new hires and transitions.
4. Performs administrative duties (including filing, copying, faxing, scanning files, burning CDs, converting files to PDFs, assembling binders, etc.)
5. Supports and builds Home Office culture by supporting key initiatives and managing gestures of appreciation and celebration.
6. Tracks home office employee sick/vacation/personal days.
9. Provides executive administrative support for the CEO and COO including calendar management . Completes expense/reimbursement requests for CEO and COO and manages a system for use of executive credit cards.
7. Performs other related duties as requested and assigned.

POSITION OVERVIEW
The Uncommon Schools Human Resources Generalist supports the execution of HR programs and processes in the areas of benefits administration, payroll, employee relations, HR policy implementation and workforce data analysis. She/he also oversees the health and welfare benefits programs for all of Uncommon Schools. • Benefits Administration and Payroll
o Uses functional knowledge to drive the execution of Uncommon’s health benefits. Manage broker resources, benefit renewals, and open-enrollment for the medical, dental, and vision programs of all networks. Researches and implements competitive benefits offerings.
o Assists employees with all health, dental, and vision benefit questions across networks.
o Organizes and leads all network Benefit Orientations.

• Employee Relations
o Conducts all Home Office on-boarding sessions.

o Ensures successful implementation of HR programs and processes. Solicits feedback for and executes proposed HR programs to ensure network-wide adoption and success.
o Communicates processes/policies clearly so staff and managers understand the purpose and expectations.

• Workforce Data and Analysis
o Executes requests for data and delivers appropriate analysis, conducting ad hoc reporting as needed.
Compiles information for routine reporting and analysis (e.g. wage/salary analysis, retention, state/federal reporting, benefit census).
